Payments 101

The lifecycle of a card payment.

The fastest way to understand card payments is to follow one from checkout to deposit.

STEP 1 · AUTHORIZE
The merchant asks for the money.
At checkout, the merchant's terminal or gateway asks the cardholder's bank (the issuing bank) to approve the amount. If funds are available, the bank places a hold on them. No money moves yet. Not every terminal or gateway supports every function, such as voids and refunds, so matching the right technology to each merchant matters.
STEP 2 · CAPTURE
The merchant confirms the sale.
The merchant confirms they want the authorized funds, usually right away, which is why authorization and capture together are called a sale. At this stage the merchant can also capture part of the amount, or void the transaction instead.
STEP 3 · SETTLE
The money moves.
When the merchant closes their batch, usually once a day, captured transactions are sent through the card networks and the issuing banks pay out the funds to the merchant account.
STEP 4 · DEPOSIT
The merchant gets paid.
Funds move from the merchant account into the merchant's business bank account, ready to run the business.

Questions merchants ask most.

Answers you can share with the businesses you refer.

Merchant account vs. payment gateway+

To accept payments online, a merchant needs two things: a merchant account and a payment gateway. Think of the merchant account as the financial piece and the gateway as the technology piece.

The merchant account holds funds from card sales until they're deposited in the merchant's bank. The gateway securely captures card details from a website, app or terminal and sends them for processing.

ndms provides the merchant account and offers its own gateway. We're also compatible with virtually every major gateway, so you can choose one for your merchants or let us match each merchant with the right fit.

Direct merchant account vs. pay-as-you-go+

Pay-as-you-go providers bundle everything together. That simplicity suits very small merchants, roughly those processing under $2,500 a month.

A direct merchant account offers more flexibility and usually a lower total cost once volume grows past that point. Merchants aren't locked into a single POS or shopping cart, and can customize reporting and integrations to fit the business.

PCI compliance 101+

The Payment Card Industry Data Security Standard (PCI DSS) is the set of rules for protecting cardholder data. It's written by the PCI Security Standards Council and enforced by the card brands.

Every merchant that accepts cards must comply. Most small and mid-size merchants validate compliance with a Self-Assessment Questionnaire (SAQ) matched to how they accept cards.

Merchants appreciate a partner who knows the basics. Learn more at pcisecuritystandards.org.
